Who processes your data

What data we process and why

• Contact and trial class form: name, email address and (optional) phone number, so we can respond to your request and keep you updated. We also record which channel brought you to us (for example, an ad or a search engine), so we know what works. Your request is stored in our own database and in Gymly.
• Membership: name, contact and payment details, for membership administration and collecting membership fees.
• Newsletter: if you sign up to stay in the loop, we store your name and email address in our own database until you unsubscribe. Every newsletter includes an unsubscribe link.
• Website analytics: for each page visit, we record which page you viewed, which channel brought you to us, whether you have visited before and which language you used to read the site. No IP address, no device data, nothing that can be traced back to you personally. Just tally marks, not profiles.

Who we share data with (processors)

We only share data with service providers that help us run the club: Gymly (membership administration and class bookings), Mollie (payments), Resend (emails sent from the form), Vercel (hosting and anonymized analytics) and Neon (the database that stores requests and visitor statistics). We never sell your data.

Photos and videos

We take short photos and video clips during classes for our social media, website and app. We only use recognizable images with your freely given consent (for children under 16: from a parent or guardian). You can withdraw that consent at any time, and if you ask, we will remove the material from our channels right away. Keep in mind that images we post on Instagram are also processed by Meta.

How long we keep your data

We keep lead data for up to 12 months after your last contact if you do not become a member. Our database automatically deletes it after that. We keep visitor statistics for up to 24 months. We keep member data for the duration of your membership and for the legally required periods afterward (such as tax record retention requirements).

Your rights

You have the right to access, correct and delete your data, and you can object to its processing. Email hoi@devecht.club and we will take care of it. You can also file a complaint with the Dutch Data Protection Authority.
